Set up your business

Add the details 411 uses on customer documents and communications.

  1. 1Open your profile or business settings from your account menu.
  2. 2Add the business name, contact details and trading address you want customers to see.
  3. 3Add your logo and review the document preview before sending a live quote or invoice.

Add a customer and lead

Capture a new enquiry without creating unnecessary job administration.

  1. 1Open Leads and create a new enquiry.
  2. 2Select an existing customer or add the customer’s contact and address details.
  3. 3Record what they need, then save the lead until you are ready to quote or schedule it.

Create and send a quote

Turn the enquiry into a clear proposal and carry accepted work forward.

  1. 1Open the lead and choose the quote action.
  2. 2Check the description, labour, materials and total before creating the quote.
  3. 3Send it to the customer. When it is accepted, use the connected action to create the job.

Schedule and manage the job

Choose the date and time and keep the job visible to the right people.

  1. 1Open the job and select its proposed date and time.
  2. 2Use Check availability before confirming if you work with a team or have other jobs booked.
  3. 3Review the address and job details from the calendar before travelling.

Complete QA and client sign-off

Create a lasting completion record with notes, photographs and signature.

  1. 1At completion, start the walk-around check and record the outcome in plain language.
  2. 2Add the relevant photographs and let the client review the completion summary.
  3. 3Capture the client’s signature. The signed record is then locked and stored with the job documents.
  4. 4Use View report to review it later or email a copy to the client or property owner.

Invoice and record payment

Create the invoice from the job and keep its payment status accurate.

  1. 1Open the completed job and create the invoice, then verify the customer, description and amount.
  2. 2Preview the issued document before sending it to the customer.
  3. 3If online payments are enabled, request payment through the secure payment link.
  4. 4For cash, bank transfer or another offline method, use Record payment received only after the funds arrive.

Quick answers

Where can I find a signed QA report?+

Open the relevant job and look below the job timeline in Job documents. Choose View report to open the locked completion and client sign-off record.

Can I send the sign-off report to someone other than the person on site?+

Yes. From the report, use the email option and check the recipient before sending—for example, when the customer is a landlord or managing agent.

Why can’t I request an online payment?+

Online payment requests require the business payment account to be connected and available. You can still issue the invoice and record an offline payment when it has been received.

Does accepting a quote create a job?+

An accepted quote enables the connected create-job action. This keeps the original lead and quote linked to the resulting job wallet.
